Privacy Policy

Your family's trust is the foundation of everything we build at FamilyCareHQ. This policy explains, in plain language, what we collect, how we protect it, and the choices you have.

1. Data we collect

We collect only what's needed to help your family coordinate care:

  • Account info: name, email, and password (hashed — never stored in plain text).
  • Family records: people you add, their relationships, and any medical notes you choose to enter.
  • Care content: medications, appointments, contacts, documents, and care log entries that you or your invited circle members add.
  • Usage data: basic logs (page loads, errors) used to keep the product working. We do not use third-party advertising trackers.

2. How we use your information

We use your data to:

  • Run the features you've signed up for (calendar, medications, vault, emergency hub, etc.).
  • Send invitations and notifications you've explicitly requested.
  • Process payments through our payment provider.
  • Improve reliability and respond to support requests.
We do not sell your data. We do not serve ads. Ever.

FamilyCareHQ is an organizational tool designed to help families and caregivers manage important information. FamilyCareHQ is not a healthcare provider, medical records system, or emergency service.

3. Encryption & security

Your data is encrypted in transit (TLS 1.2+) and at rest. Documents in the Vault are stored in an access-controlled bucket where each request is checked against your account permissions. Passwords are hashed using industry-standard algorithms; we cannot read them.

Security incidents

If we become aware of a security breach affecting personal information, we will notify affected users and applicable authorities as required by applicable law.

4. Sharing inside your care circle

Information you add is visible to people you invite into your care circle, according to the role you assign them (e.g. caregiver, family member). You can revoke access at any time from your circle settings. We do not share your data with anyone outside your circle, except as required by trusted service providers that help us securely operate FamilyCareHQ, including hosting, payments, and email delivery, under strict confidentiality agreements, or where required by law.

5. The Emergency QR feature — important notice

FamilyCareHQ offers an optional Emergency QR Card feature. When enabled, a unique secure URL is generated for a family member's medical profile. This URL is intentionally accessible without a login so that emergency responders can view critical medical information quickly.

You are in control:

  • The QR feature is opt-in — you choose which family members have a public emergency page.
  • You can rotate the token at any time, which immediately invalidates any previously printed cards or shared links.
  • You can disable the public page entirely at any time.

Please be aware:

Any person who obtains the QR code URL or printed card can view that family member's emergency medical information. We recommend printing cards only for trusted individuals to carry, and rotating the token if a card is lost or stolen.

We recommend including only the information necessary for emergency situations.

FamilyCareHQ does not provide medical advice, diagnosis, or treatment recommendations. Always consult qualified healthcare professionals regarding medical decisions.

6. Children's privacy

FamilyCareHQ is not directed at children under 13. We do not knowingly collect personal information from children under 13. You may add minors as family members to your account, but the account holder must be 18 or older.

7. Data retention

We retain your account and associated data for as long as your account is active. If you cancel your subscription your account is deactivated but your data is retained for 90 days in case you return. After 90 days, data is permanently deleted.

Before permanent deletion, you may export your family data for your records.

8. Cookies

We use essential cookies only — to keep you logged in and maintain your session. We do not use advertising cookies or third-party tracking cookies.

9. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data.
  • Export your data in a portable format.
  • Withdraw consent where processing is based on consent.
  • Opt out of any future marketing communications.

Request a copy of your data at any time.

Correct

Edit or update anything that's inaccurate.

Delete

Permanently remove your account and family data.

10. Changes to this policy

We may update this Privacy Policy from time to time as FamilyCareHQ evolves. If significant changes are made, we will notify users through the app or by email.
